    Responsibilities

    • Provide confidential executive assistant support for Senior Vice President & team (anticipating and being proactive about the needs of the executive.)
    • Manage and maintain SVP’s calendar; heavy appointment/meeting scheduling for small and large groups; anticipatory review of calendar for conflicts
    • Create detailed travel itineraries both domestically and internationally 
    • Maintain and submit travel expenses; maintain department expenses (i.e. supplies, team events, etc.)
    • Help to track and manage the team’s expense budget, reconciling with finance monthly/quarterly/annually; following up with vendors as needed, ensuring all invoices are accrued and followed up on 
    • Organize and execute all logistics for large group meetings: travel, media/technology, material preparation 
    • Help to update and create decks/presentations for meetings & projects
    • Super-user on all technology and communication capability: video conference, skype, face time, mobile phones
    • Work closely with the other executive assistants to stay on top of company updates, events, meetings 
    • Responsible for ad-hoc projects and analysis 

    Qualifications

    • Demonstrated experience supporting a senior level executive + team in complex, meeting heavy, highly collaborative and matrixed environment; global experience and interaction a plus
    • Strong project management and project coordination skills
    • Practical and organized; able to balance priorities and manage time well
    • Excellent attention to detail (and understanding/attune to how important the finer points in details can be while also balancing the 80/20 rule)
    • Resourceful to research answers and solutions 
    • A great listener & direct communicator
    • Strong written and verbal communication skills, able to adapt communication style to all levels and all audiences
    • Analytical and process minded 
    • Excellent Powerpoint (create, edit, manipulate presentations and decks), Excel, Word, Outlook skills
    • Thrives in a fast paced and dynamic environment
    • Approachable and likes to have fun at work
